Terms and Conditions

REFUND POLICY

Missed Sessions by the Child: We are unable to provide refunds or credits for sessions missed by the child, including absences due to illness. However, in exceptional cases where a child is unable to attend multiple sessions due to serious circumstances or illness (excluding COVID-19), please contact us to discuss a possible credit request.

Sessions Cancelled by Erika PT, Fitness and Dance due to COVID-19 or Acts of Nature: If a session is cancelled due to COVID-19 or acts of nature, we will reschedule the missed session within the same term period. If live classes cannot be held, we will transition to online classes. Online classes will be charged at 100%. Refunds will be issued as a credit towards your next invoice, not as cash refunds. Relevant information will be communicated via email. If children do not attend the rescheduled classes, no refund will be given.

Sessions Cancelled by Erika PT, Fitness and Dance for Other Reasons: In the unlikely event that a session must be cancelled for reasons other than COVID-19 or acts of nature, we will reschedule the missed session within the same term. If rescheduling is not possible, you will receive a credit for the session cost, applied to the following term's fees. Relevant information will be communicated via email. We strive to avoid cancellations due to controllable circumstances. If children do not attend the rescheduled classes, no refund will be given.

FEES

Upon registering with Erika PT, Fitness and Dance via the online registration form, you are responsible for all term fees from that date forward.

Payments to be made ONLY after the reception of the referring invoice sent directly by Miss Erika.

All fees and deposits are non-refundable (please refer to our Refund Policy for details). If fees are not paid, we reserve the right to deny entry to classes. In the event of a waiting list, unpaid term fees may result in your spot being offered to someone on the waiting list without prior notice. Fee adjustments may occur at any time, but we will provide reasonable notice whenever possible.

Registration for classes after the start of the term will be subject to a Pro-Rata Fee based on the amount of classes left of the term.

PAYMENTS

Invoices are paid termly and issued upon the confirmation of registration and at the beginning of December and March for the upcoming terms. Payment is due by the month's end when the invoice is sent.They must be paid beofre the start of the classes. A 10% payment lateness fee will be applied. Please reach out to us before the due date to discuss any extenuating circumstances.

CANCELLATION: To cancel classes, please provide a minimum of 4 weeks' notice via email to erikam.pt.dance@gmail.com. We do not accept cancellations through other forms of contact.

 

BEHAVIOUR AND DISCIPLINE

Parents of young dancers are kindly requested to ensure that they hand over their child to a member of the teaching team before leaving the premises. Children must be supervised until their designated teacher is ready to receive them into the studio.

Students are expected to arrive on time for each class. Lateness may disrupt the class and affect the learning experience of other participants.

A surcharge of £1 per minute will be applied to delays that are over 10mins the end time. We are unable to let your children leave without an unauthorised adult. Should you need to change your collection arrangements, please contact Erika at least 3 hours before the start time of your class.

Children are required to use the restroom before the commencement of class accompanied by their parents or guardians as classes cannot be interrupted and teachers are not permitted to accompany children to the restroom.

All students are required to wash their hands upon arrival and departure from class or utilize suitable antibacterial gel.

Students at Erika PT, Fitness and Dance are expected to maintain focus, attentiveness, and respect towards their instructor and fellow classmates at all times. This includes actively engaging in class activities and adhering to behavioural guidelines.

Any disruptive behaviour exhibited by a student may result in their removal from the class.

In cases where a student's behaviour is deemed unacceptable, the following steps may be taken:

  1. Verbal Warning and Behaviour Management: The student will be engaged in a conversation addressing the behaviour, which may include verbal warnings and the implementation of behaviour management strategies consistent with our current policy.

  2. Parental Contact: If the unacceptable behaviour persists despite intervention, the student's parent or guardian will be contacted to discuss the situation.

  3. Revocation of Enrolment: If the behaviour continues to disrupt the learning environment and all efforts to address it have been exhausted, the student's enrolment at Erika PT, Fitness and Dance may be terminated.

We reserve the right to withdraw a student's enrolment at any time due to unruly or unreasonable behaviour, without prior notice. In such cases, no refund will be provided.

All students must adhere to the uniform requirements and maintain appropriate grooming standards. Failure to do so may result in refusal of entry to the class.

PHYSICAL CONTACT

Dance instruction involves physical activity, and there may be instances where a teacher needs to make physical contact with a student to demonstrate a concept or correct their posture. This may include lifting or adjusting arms, legs, rib cage, hips, feet, or hands, and occasionally repositioning one student in relation to another.

In situations requiring physical contact, we prioritize the student's well-being and remain sensitive to their comfort level. Before making any physical adjustments, we will communicate clearly with the student, explaining why and how we will be correcting their position.

Our goal is to ensure a safe and supportive learning environment where students feel respected and empowered throughout their dance training.

While all reasonable precautions will be taken to ensure the safety of students, the dance class and its instructors cannot be held liable for any injuries or accidents that may occur during classes.

 

COMMUNICATIONS

The safety of our students is of utmost importance. Parents/guardians must inform the instructor of any relevant medical conditions, allergies, or injuries that may affect a student's participation in class.

You have the right to personally update your details. Please refer to our Privacy Policy for further information.

We are committed to safeguarding your personal information and will not share it with any third parties without your knowledge. We only use your information to send you relevant updates and communications related to our dance programs. Please review our Privacy Policy for information on the third parties we may engage with for business purposes related to our dance programs exclusively.

You have the option to opt out of receiving emails that are not directly relevant to the class you are enrolled in.

You also have the right to request the removal of your details from our database at any time. However, please note that we are legally obligated by HMRC regulations to retain invoicing information for up to 7 years and first aid records for up to 3 years. Despite this, we will honour any requests to refrain from direct contact.

For the safety of your child while attending our classes, it is mandatory to provide at least one Parent/Guardian's contact information.

 

SAFEGUARDING

We take safeguarding concerns very seriously, and any issues raised will be addressed promptly and thoroughly. Major concerns will be reported to the appropriate authorities without delay.

MINI MOVERS BALLET

Parents/Guardians of Mini Movers Ballet (preschool classes) are required to remain contactable and within a reasonable distance of our class venue during the duration of the class.

 

PHOTOS/MEDIA

From time to time, photographs or videos may be taken during classes for monitoring, training and promotional purposes. By enrolling in classes, parents/guardians consent to the use of such media for marketing and advertising purposes.

Please contact Erika to revoke consent for the use of these materials.

We are committed to making responsible artistic choices with any media obtained, always prioritizing the best interests and safeguarding of our students.

With consent from all parties involved, family members and guests may take photos or film during designated events such as watching week and our events like performance sharing’s and parties.

We reserve the right to halt any media capture at any time, without prior notice or explanation.

Occasionally, We may film a class or workshop for reference purposes or to aid in teacher handovers. Such footage will be securely stored and not shared on public platforms.

 

OFFERS AND DISCOUNTS

If registration is completed before August 31, 2024, only the Early Bird offer will be applied to your bill. Discounts cannot be used in conjunction with other offers.

 

TRIALS

Trials are available upon request. A fee of £7.50 is required to book the trial and will be credited towards the invoice upon the child's enrolment. No refund will be given if enrolment does not proceed.
